The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to Guatemala works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the government of Guatemala in areas that are part of the EU’s remit.
We offer
The post of Secretary (Local Agent Group 3) in the Delegation’s Administration Section for a fixed term of 2 years. The team consists of eight people and there are occasional atypical extra working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Administration Section, providing support, expertise and assistance in administrative, financial, contractual and logistical support tasks.
The following main tasks and duties are currently required:
- Assistance with the management of supply and service contracts (correspondence, filing and budgetary calculations)
- Assistance with correspondence to the Ministry of Foreign Affairs, tax and other authorities
- Assistance with financial transactions as Operational Initiator and role of Financial initiator in the accounting system
- Assistance in procurement procedures for supplies and services
- Administrative support for logistics and infrastructure
- Document registration and filing
The base salary will depend on relevant and verified employment experience. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will be XX July 2025.
Minimum requirements
- Diploma certifying tertiary education equivalent to three years fulltime studies of business
administration, office administration or similar - Professional experience of at least three years (equivalent to fulltime work) as assistant for office management tasks (e.g. human resources, protocol, logistics, finances)
- Proven very good English language skills (min. proficiency in English, TOEFL certificate or
equivalent exam confirming B2 level) - Proficiency in office IT applications
- Proven practice in business correspondence in Spanish and English language
- Right to residence and work in Guatemala
- Medical fitness to carry out the tasks assigned
Assets / selection criteria
- University Diploma in business administration or equivalent and/or international tertiary
education - Work experience at diplomatic missions or international organizations
- Work experience in assistance for financial tasks (e.g. preparation of financial reports, budget planning)
- Commitment to quality, priorities, instructions and deadlines, attention to detail, discretion, good organizational skills, responsive to work demands

The process
After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose. Eligible applications must be complete, meet the minimum requirements and application deadline.
Depending on the number of applications received, successive phases of Selection may include
shortlisting of candidates based on the assessment of the information provided in the cover letter and CV for practical tests and interviews. The best candidates will be invited to the final interview.
