We offer
The post of Secretary (Local Agent Job Profile of Secretary, Group III) in the Delegation’s Political, Press and Information Section under a fixed-term employment contract of 2 years, with a possibility of renewal under reserve of budgetary availabilities and operational considerations. For internal candidates holding an indefinite-term contract, alternative contractual arrangements may apply in accordance with institutional policies. The team consists of 4 people and there are occasional atypical working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Political, Press and Information Section, providing support, expertise and assistance in the secretarial field.
Following main tasks and duties are currently required:

Provide secretarial and administrative assistance to the Head of the Political, Press and Information (PPI) Section and provide support to the Section, including document and diary management, administering mission requests, prepare notes, draft routine correspondence, presentations and/or other texts

In the absence of the Head of Delegation's (HoD's) Assistant, provide secretarial and administrative assistance to the HoD and his/hers Secretariat; check functional Delegation and HoD's mailbox regularly; register in Ares where appropriate and dispatch accordingly; follow-up and make appointments as instructed by the HoD

Provide support to the Section in relation to the planning, drafting and finalisation before deadline of reports and other documents falling under the responsibility of the Section. Register in Ares where appropriate and dispatch accordingly; follow-up and make appointments as instructed by the Head of Section

Act as a pro-active first point of contact for the Delegation's PPI Section and advise the Section accordingly. Check, maintain overview and process correspondence to the Head of Section and the Section in line with instructions

Manage the PPI Section's electronic filing and maintain the PPI Section's contact databases and mailing lists. Take minutes of PPI's meetings. Act as the PPI's Section's procurement contact

Under the guidance of the Head of Section, draft a weekly media review of key issues and events in the Delegation's area of responsibility

Assist with the upkeep of the Delegation's dedicated website, social media sites, including Twitter, Facebook and Instagram

As appropriate, assist with event management and organisation for Delegation outreach events, including Europe Day reception and European Film Festival; maintain an overview on the planning of events and deadlines

When needed, accompany members of the Delegation to media/ promotion events, to assist with photography, report writing and general support

Coordinate annual leave and mission planning of the Head of Section and other staff members within the assigned Section as instructed by the Head of Section
The base salary will depend on relevant and verified employment experience, typically starting from 251000 JMD. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will be 01 July 2026.
Minimum requirements / eligibility criteria (necessary for the application to be considered)

Professional qualification as a secretary or relevant high school diploma

Minimum of 3 years of experience in secretarial activities. The professional experience must be acquired after the date on which the qualification allowing access to the post was obtained;

Excellent working knowledge (C2) of English;

Very good knowledge of PC usage;

Right to residence and work in Jamaica;
Assets/selection criteria (basis for awarding points to select the best applicant)

University diploma with specialisation in secretarial assistance;

Professional experience within an international organisation or embassy;
-
Knowledge of other EU languages, especially French or Spanish;

Excellent command of Outlook.

The process
After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.
Depending on the number of applications received, successive phases of Selection may include shortlisting of candidates based assessment of the information provided in the cover letter, CV, practical testing and interviews. The 3 best candidates will be invited to the final interview.
Only candidates admitted to each successive selection phase will be contacted individually. The Delegation will not supply additional information or discuss the selection procedure. During the selection process, please do not contact the members of the Selection Committee, but address your questions and comments to the Delegation’s Administration.
The successful candidate will be subject to a medical check.
