Call for Sponsors - Europe Day Reception on 6 May 2025

  1. Opportunity

The European Union (EU) Delegation to the State of Kuwait is planning to host its annual celebration of the ‘Europe Day’ on 6 May 2025. The event will start at 7:00 pm and end at 10:00 pm, and will take place in a prestigious hotel in Kuwait (exact location TBC shortly).

The event will be a cocktail-style reception. The estimated number of guests will be around 800. Attendees to the event will include, high-ranking local authorities, leading representatives from the private sector, civil society organizations, academia, selected Kuwaiti and European Union Member States private citizens,  media representatives and international diplomats, among others. 

Consequently, this event is an excellent opportunity for companies and organisations (sponsors) to promote their image, brands/activities through corporate sponsorship-collaboration with the European Union Delegation to the State of Kuwait for in-kind contributions.

Interested companies and organisations are requested to submit their proposal exclusively via electronic mail to DELEGATION-KUWAIT@eeas.europa.eu no later than 17th April 2025 at 24h00 with subject: Europe Day 2025 Sponsorship Proposal. In your email, please mention the nature and specifications of the in-kind sponsorship, as well as the estimated value in Euro (EUR) or Kuwaiti Dinar (KWD) of the in-kind provided goods and/or services.

The EU Delegation will review the applications in line with the eligibility and selection criteria listed under point 4 below, and contact the selected companies and organisations in order to sign a Corporate Sponsorship Agreement. Signature of the Corporate Sponsorship Agreement will be conditional on the host hotel’s approval. 

  1. What can sponsors expect from the European Union Delegation

The sponsors will be provided with exposure and visibility as follows:

  • Logo featured in the on-screen projections during the event;

  • Allow the display of up to two standing roll-ups at the entrance area of the event;

  • Sponsors will be provided with space in the entry hall of the event and may set up a booth or other materials prior approval of the Delegation and the host hotel, 

  • Sponsors will be allowed to distribute to participants promotional material of their activities including for instance flyers, brochures, giveaways, gifts, branded items, etc, prior approval by the Delegation and the hosting hotel;

  • the (discrete) exposition of sponsor's products during the event;

  • five individual invitations for the sponsor’s guests;

  • recognition in the EU Ambassador’s speech;

  • Link with event photos.

Besides the above, additional services may be negotiated.

  1. Commitments of the sponsor:

Sponsors are invited to contribute “in kind” i.e. through the provision of services and/or supplies for the guests, under the guidance of the Delegation and the main event supplier (host hotel) as well as the event management company contracted by the Delegation. Financial contributions to the EU Delegation are not allowed under the EU Financial Regulation.

Contributions could include:

  • Provision of various products, such as promotion materials, gifts, give-aways, branded items;

  • Provision of live artists, musicians, display of art pieces or any other kind of artistic/cultural contribution to the event;

  • Products and activities aimed at portraying Corporate Social Responsibility practices that align with EU objectives and values are highly encouraged;

  • Sponsors may suggest other form of in-kind sponsorship.

  1. Eligibility and selection criteria

  • The Sponsor can be a public or private organisation or company;

  • The Sponsor’s nature and activities may not entail a possible conflict with the mission and objectives of the European Union, including at policy level in areas such as foreign policy, social, health and environment;

  • The European Union Delegation will review the applications and will determine the organizations/companies that best align with the core objective of the event to be sponsored.

  1. All sponsors are informed that:

  • The EU’s European External Action Service (EEAS) registers all sponsorships above 1.000 EUR as well as registers and publishes all sponsorships above 5.000 EUR on the relevant EU Delegation’s web-sites and on the official website of the EEAS.

  • The EEAS processes personal data in accordance with Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC. In case personal data needs to be transmitted to any sponsors, as recipient, the organisation is required to ensure the same level of data protection guaranteed by the EU data protection framework, and in particular Regulation (EU) 2018/1725.

  • Sponsors will not be consulted on the substance of the event.
