Vacancy Notice - Secretary in the Administration Section at the Office of the European Union Representative

The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Office to the West Bank and Gaza Strip, Jerusalem works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the local government in areas that are part of the EU’s remit.
We offer
The post of Secretary in the EU Office’s Administration Section. The team consists of 16 people and there are occasional atypical working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the EU Office, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Administration Section, providing support, expertise and assistance in Protocol Matters.
The following main tasks and duties are currently required:
Service Visas
Prepare visa application documents and official notes for European staff and oversee the process with the Israeli Ministry of Foreign Affairs through to issuance.
ID Cards (Yellow Cards)
Responsible for of liaising between the Ministry of Foreign Affairs and the office.
Airport Permits
- Assist in arranging VIP Airport Permits to enter restricted airport premises.
Travel Visa Applications
- Assist Staff members in applying for Visas to other embassies as needed.
Customs Clearance
- Responsible for clearing all personal effects of European Staff.
Responsible for clearing vehicles for the office, as well as for European staff members.
Vehicles
- Responsible for preparing and submitting requests for all vehicle licenses and insurances, including for the private vehicles of the European staff members.
- Responsible for organising the mechanical tests that precede the licensing of all vehicles, including those of the European staff members.
- Responsible for managing the end-to-end vehicle import/export process for European staff members.
- Responsible for facilitating the process of European staff members to obtain local driver’s licenses and for Arranging Tax free Fuel Cards for all vehicles.

Any other task in the interest of the service and when required.
The base salary will depend on relevant and verified employment experience. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will not be before 01/09/2026.
Minimum requirements / eligibility criteria (necessary for the application to be considered)

Minimum of Secondary school certificate
-
2 years of relevant professional experience (secretary, protocol officer, administrative clerk/desk officer, personal assistant, office manager, administrative assistant, etc.) if holding a post-secondary degree OR 5 years of relevant professional experience (secretary, personal assistant, office manager, administrative assistant, etc.) if holding a secondary degree, preferably in a Governmental or European Organisation is required performing the above-mentioned tasks, Administration and management skills. The professional experience must be acquired after the date on which the qualification allowing access to the post was obtained.

Working knowledge (B2) of English, Arabic and Hebrew

Right to residence and work in Israel.

The process
After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.
Depending on the number of applications received, the Selection will be shortlisting of candidates-based assessment of the information provided in the cover letter, application. 3 best candidates will be invited to the interview.
