The European Union Delegation to the Türkiye, Ankara is looking for:

‘Secretary’ in the Civil Society, Fundamental Rights, Judiciary and Home Affairs Section (COOP1)

The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy. 

The EU Delegation to the Türkiye, Ankara works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the government of the Republic of Türkiye in areas that are part of the EU’s remit.

 

We offer

The post of ‘Secretary’ (Local Agent Group 3) in the Delegation’s Civil Society, Fundamental Rights, Judiciary and Home Affairs Section (COOP1). The team consists of 15 people and there are occasional atypical working hours. 

Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of COOP 1 Section, providing general administrative and secretarial support to the management of the Cooperation Section Civil Society, Fundamental Rights, Judiciary and Home Affairs and providing support for other sections of the Delegation as necessary

Following main tasks and duties are currently required: 

 

+ OPERATIONAL and ADMINISTRATIVE SUPPORT and RESOURCES - Office management

  • Provide assistance to the Head of section for the management of the Section. 

  • Maintain diaries, photocopying, mail/cargo handling, responding to general inquiries, and managing the correspondence, e-mail exchange, and calendar. 

  • Answer the telephone, filter and transfer the calls, take messages and respond to general enquiries.

  • Manage Section's annual leave and training plans.

  • Prepare notes, agenda and minutes, routine correspondence, presentations and other texts that are needed for the overall Section activity.

  • Perform any other tasks requested by the Head of Section or other section colleagues. 

 

+ OPERATIONAL and ADMINISTRATIVE SUPPORT and RESOURCES - General administrative and secretarial support

  • Handle meeting and mission (travel and accommodation) arrangements.

  • Provide logistical support for organisation of meetings /committees (reception of guests / attendees, liaising with the Administration Section on preparation of the room, materials, refreshment etc.).

  • Ensure follow-up and respect of deadlines in the Section's activities.

  • Provide support to archives and Ares management

  • Up-date those contact list(s) in the Outlook public folder relevant to the Section's activities.

  • Maintain the Section’s co-ordination and with the Delegation's Secretariat.

  • General administrative support upon instructions.

  • Draft minutes of meetings.

 

+ INFORMATION and DOCUMENT MANAGEMENT - Document management

  • Ensure proper handling of procurement documents and other sensitive files.

  • Ensure proper electronical filing and archiving of the document in compliance with the internal filling/archiving policy and work with the relevant Information and Technology tools and  applications of the EU Delegation (ARES, MIS, MIPS, Drivers).

  • Draft, type, verify layout and check quality of documents presented for signature.

  • Registration of outgoing and incoming mail (including e-mails).

  • Allocate registered mail to appropriate individuals and maintain up-to-date mailing lists.

  • Ensure follow-up and respect of deadlines of replies requested from the Section.

  • Prepare and copy correspondence for transmission.

 

+ INTERNAL COMMUNICATION (general) - Any other business

  • "Within the framework of the Staff Regulation, to carry out tasks linked to the job description as instructed by his/her superior(s)."

The contract will be unlimited. The base salary will depend on relevant and verified employment experience, typically starting from EUR 1,759.00.  There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan. 

The expected start date will be March 2026. 

 

Minimum requirements / eligibility criteria (necessary for the application to be considered)

  • High School Diploma;
  • Minimum 3 years of experience;
  • High level of computer literacy (Word, Excel, PowerPoint, Outlook, Internet)
  • Excellent command of Turkish, both written and spoken (C2)
  • Good command of English is required (B2)
  • Right to residence and work in Türkiye
  • Medical fitness to carry out the tasks assigned
  • Completion of military service for male applicants
  • Good standing as citizen/resident

 

Assets / selection criteria (basis for awarding points to select the best applicant) 

  • Proven previous work experience in English 
  • Personal Assistance or Office Administration diploma or degree

The process

After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.
