The European Union Delegation to Uganda, Kampala is looking for: A Secretary to the Administration Section.

The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to Uganda, Kampala works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Ugandan government in areas that are part of the EU’s remit.
We offer
The post of Secretary (Local Agent Group 3) in the Delegation’s Administration Section. The team consists of 13 staff and there are occasional atypical working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Administration Section, providing support, expertise and assistance in administrative tasks.
Following main tasks and duties are currently required:
- Overall organizational and administrative assistance in the Administration section;
- Drafting of correspondence and meeting minutes;
- Maintenance of section files and Classification, filing, and registering of correspondence and documents
- Logistical support to the organization of meetings/events/missions;
- Inventory management
- Any other ad hoc tasks relating to the activities of the Section and the Delegation.
The base salary will depend on relevant and verified employment experience, typically starting from Uganda Shillings 4,800,000/=. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will be 1st February 2024.
Minimum requirements / eligibility criteria (necessary for the application to be considered)
- Minimum of post-Secondary Education with focus on Secretarial studies or its equivalent;
- Minimum of 3 years of relevant experience, preferably in an international environment;
- Experience in supporting and assisting a section or unit, and in coordinating the tasks performed there.
- Working knowledge (C2) of English
- Thorough knowledge of PC usage and applications related to MS Office, MS Excel, MS Power Point, Internet etc.
- Right to residence and work in Uganda
Assets / selection criteria (basis for awarding points to select the best applicant)
- Level of Education
- Level of professional experience in a similar role preferably international organisations
- Level of skills of interpersonal skills; capacity of organizing and coordinating meetings, agendas, events and contractors
- Level of skills in logistics management (Procurement processes, inventory management, travel arrangements, Hotel reservations)
- Level of IT skills (Word, Excel, PowerPoint, Outlook, Zoom, Skype etc.);
- Team work fluency, high flexibility, and capacity to work under pressure;
- Knowledge/experience of EU policies, of international relations, of inner workings of the host country politics/media/economy; or a personal ability characteristic

Applications will be evaluated and shortlisted in accordance with the above requirements. Shortlisted candidates will be contacted for a written test. The selection procedure will include an evaluation of the received applications, a written test and interviews of the shortlisted candidates.

The successful candidate will be subject to a medical check and background checks.
The process
After the deadline for applications, the eligible applications will be reviewed by a Selection Committee set up for this purpose. The Selection Committee will prepare a short-list of candidates who are considered to be the most suitable for the post on the basis of a preliminary assessment of the information provided in their application letter and the supporting documents. The short-listed candidates will be invited to an assessment phase which will include a written test and, if successful, an interview. During these phases, the Selection Committee will assess the suitability of the candidates for the post.
