The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy. 

The EU Delegation to the United Nations (UN) and other international organizations based in Geneva (Switzerland) works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the UN and other UN bodies in areas that are part of the EU’s remit.

We offer

The post of Office Support Agent (LA Group IV) in the Head of Delegation section, under a fixed-term employment contract of two years, with the possibility of renewal under reserve of budgetary availability and operational considerations. The probationary period is of 3 months. For internal candidates holding an indefinite-term contract, alternative contractual arrangements may apply in accordance with institutional policies. The team consists of nine people and there are occasional atypical working hours.

Under this post, the recruited person will be entrusted with functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Delegation, providing support, expertise and assistance in support functions, secretariat jobs, event management.

Following main tasks and duties are currently required:

 

MAIN DUTIES AND RESPONSIBILITIES

 

ADMINISTRATIVE SUPPORT

  • Sending, filing and archiving incoming and outgoing mail and reports in the document management system (ARES, HIVE), and support EU coordination and alignment procedures

  • Register incoming invoices in the financial management system and prepare commitments for the Press and Information (P&I) budget and the team’s representational costs
  • Prepare files and documents for meetings

  • Prepare correspondence for signature with the right layout and format.

 

LOGISTICAL SUPPORT

  • Assist with the coordination and setup of meetings, conferences, or events

  • Liaise with external partners on event arrangements 

  • Support logistics for visits of high-level EU representatives to Geneva 

  • Provide technical support during events 

  • Support with audio-visual material for events and conferences

 

OFFICE MANAGEMENT

  • Maintain the list of suppliers and contractors 

  • Manage and prepare invitation and mailing lists

  • Support updating the website

  • Support in the planning of leave and absences

     

The base salary will depend on relevant and verified employment experience, typically starting from 5,655 CHF.  There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, 13th month and a retirement savings plan. Health insurance includes insurance against accident (LAA) and partial refund of LAMaL. Employment condition is on full time basis, with 37.5 hours per week, from Monday to Friday.

The expected start date will be 01/10/2026.

 

Minimum requirements/eligibility criteria

 

  • Secondary education degree
  • Minimum 2 years of professional experience in support functions, assistance or secretariat jobs, or event management. The professional experience must be acquired after the date on which the qualification allowing access to the post was obtained. 
  • Excellent knowledge (C1) of English.

  • Right to residence and work in Switzerland (subject to approval by the competent authorities)

 

Assets/selection criteria (basis for awarding points to select the best applicant)

 

  • Working knowledge of French (written and oral)
  • Ability to coordinate tasks, particularly in capacity for organizing meetings and agendas

  • Ability to work in a multicultural team, showing good interpersonal skills
  • Proficient use of communication and office equipment

  • Service-oriented mindset, with a professional attitude and appearance
  • Experience working with the European Union policies and procedures

  • Capacity to multitask and to work under time pressure

The process

 

After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose. 

Depending on the number of applications received, successive phases of Selection may include shortlisting of candidates based on the assessment of the information provided in the cover letter, CV; practical testing and interviews. The three best candidates will be invited to the final interview. In case of equivalent ranking of the first two candidates after the interviews, a written text will be organized.

Only candidates admitted to each successive selection phase will be contacted individually. The Delegation will not supply additional information or discuss the selection procedure. During the selection process, please do not contact the members of the Selection Committee, but address your questions and comments to the Delegation’s Administration.

The successful candidate will be subject to a medical check, to assess his/her fitness to perform the required duties.
