We offer
We offer a post of Office Support Agent . Under this post, the recruited person will be attributed functions depending on the needs of the Delegation. Upon recruitment, the successful candidate will occupy a specific job function as Office Support Agent – this job function may be changed in accordance with the needs of the Delegation. Under this job function, the successful candidate will serve as support staff to assist in logistic and administrative works, under the supervision and responsibility of the relevant head of section.
- In particular his/her tasks include to assist with the logistical activities such as but not limited to maintenance and supervision of electric and plumber installation in the whole compound, maintenance of generators, control of fuel tank level and all technical devices and indicators in the power plant, water installation and management of the tools and spare parts stock. Assist in technical installation and repair of electrical equipment in the offices and accommodation, and make sure that warehouses are clean and well organized and inventory lists are accurate and updated. Ensure that inventory is updated in asset management tools. Conduct regular inspection of warehouses, report items with limited expiry dates and avoid any damages in the warehouses. Coordinate office events, meetings, and conferences, ensuring all logistical arrangements are in place.
- In addition to that, he/she will be responsible for the administrative activities such as but not limited to maintain and ensure the proper and accurate general archive system, handle all incoming and outgoing correspondence, ensuring adherence to delegation protocols and confidentiality requirements, draft and send official letters to relevant government entities. Keep track of expatriate visas expiry dates and ensuring timely submission of applications and proper follow up on its process, provide guidance and support to expatriates on visa requirements and relevant documentation. Address any issues that may arise during travel, such as flight delays, cancellations or loss of luggage. Coordinate airport pickups and drop offs including VIP requests for delegation staff and other official authorities visiting delegation and make sure that the accommodation and relevant facilities are in place. Perform any other task assign by the supervisor.
The recruited person will work in a multicultural working environment, The fixed Term Employment contract is of one year duration, starting with a 3 months probationary period. The length of the working week shall be 37.5 working hours. The Delegation premises are located at Charahi Sedarat Shaare-Naw, Kabul Afghanistan.
The post falls under Group 4 of the Delegation’s salary scheme. EU salaries in Afghanistan are highly competitive. The exact amount will be communicated upon finalizing the recruitment. Selection Criteria
Minimum Requirements:
- Medically fit to perform the required duties;
- Enjoys civil rights and permits for employment under local law;
- Diplomas: Either a post-secondary education attested by a diploma, or a secondary education attested by a diploma giving access to post- secondary education
- Professional experience of at least 5 years in a field related to the job (administrative, office maintenance, facilities and warehouse management or any other relevant field.
- Fluent knowledge written and spoken of English, Dari and Pashto (minimum level C2).
- Good computer skills on MS Office tools and experience with accounting software
The following will be considered an asset:
- Knowledge about the European Union
- Knowledge of French
- Experience in working with an international environment (minimum 3 years)
- Good computer skills on MS Office tools.

The procedure
After the deadline for applications, the applications will be reviewed by a Selection Committee set up for this purpose. The Selection Committee will prepare a short-list of candidates who are considered to be the most suitable for the post on the basis of a preliminary assessment of the information provided in their application letter and the supporting documents. The short-listed candidates will be invited to an assessment phase, which may include an interview if necessary – during this phase, the Selection Committee will assess the suitability of the candidates for the post.
The candidates who have not been short-listed will not be contacted individually; however, the Delegation will use the same means of publication as for this Vacancy Notice to inform the remaining candidates once the recruitment procedure has been completed and that a candidate has (or has not) been recruited.
