The College of Europe in Natolin is seeking candidates for the position of Project Support Specialist under the EU-funded project targeting Ukrainian public officials.

Contract Duration:
April 1, 2025 – January 15, 2027
(based on a service or employment contract)

Please note: this position is Warsaw-based, and candidates must have the right to reside and work in Poland.

On-site work at the employer’s premises with occasional remote work.

Key Responsibilities:

1. Administrative and organisational support to the project:

  • maintain the project calendar;
  • organise project meetings, both individual and group meetings (invitations, agenda, minutes);
  • organise the room booking process, supervise room setup and ensure that premises are adapted to project purposes;
  • inform the facility security staff about the arrival of third parties to the institution’s premises (experts, guests, participants);
  • support the organisation of project events.

2. Communication and information flow:

  • prepare official correspondence and letters;
  • draft meeting notes and summaries;
  • prepare materials for meetings;
  • cooperate with other services and staff members to ensure the smooth implementation of project objectives;
  • support the internal expenditure approval process.

Requirements:

  • very good command of Polish (C2) and English (B1/B2);
  • proficiency in Office 365 tools;
  • strong interpersonal and intercultural communication skills;
  • attention to detail and ability to multitask;
  • strong organisational skills;
  • creative thinking and ability to work independently and under pressure;
  • high personal culture.
