We welcome you to join our team as an Office Specialist
The e-Governance Academy (eGA) is an Estonian non-governmental, non-profit organization, founded to create and transfer knowledge about digital transformation and the implementation of related technologies, e-democracy, and national cybersecurity. eGA implements digital transformation projects all over the world and due to growing team in Ukraine, we are looking for a person located in Kyiv who will create and maintain a pleasant work environment in our offices.
Main responsibilities
- Keep offices running smoothly (organize repair works, purchase furniture and equipment, arrange storage; communicate with landlords, cleaners and service providers, etc.).
- Order and keep track of office supplies (water, coffee, fruits, etc.).
- Manage budgets and expenses, keep financial records related to office operations, proceed regular payments.
- Manage correspondence and organize document flow between eGA offices and suppliers.
- Organize online and onsite meetings, support in organizing events and conferences.
- Meet and greet visitors and assist colleagues in other tasks according to business needs (incl travels, organizing catering, etc.).
The suitable candidate will:
- Have advanced English language skills (B2 or higher) and speak Ukrainian fluently.
- Be a good communicator and problem solver.
- Demonstrate the ability to multitask under time pressure and be adaptive, attentive to details, self-organized.
- Be proficient in MS Office and able to work with office equipment (incl. multifunctional devices, video conferencing).
An advantage will be having prior working experience as an office manager and/or working experience in international companies.
