EEAS Vacancy: Administrative Agent (Group IV) - Amman RO - Ref: AA-AMM 026-01
The European Commission’s Directorate-General for European Civil protection and Humanitarian aid Operations (ECHO), funds relief operations for victims of natural disasters and conflicts outside the European Union. For humanitarian aid, the Commission works with about 200 operational partners, including United Nation agencies, the Red Cross/Crescent movement and non-governmental organizations (NGOs). Aid is channeled impartially, straight to victims, regardless of their race, ethnic group, religion, gender, age, nationality or political affiliation.
DG ECHO Office in Amman is seeking to recruit one national staff to be based in Amman/ Jordan, covering Jordan, for the following position of:
Administrative Agent (Group IV)

Main Responsibilities:
As a part of the Jordan country team, the Administrative Agent of the Amman Office, Jordan will carry out activities such as:

Administrative Support, including support for the field missions of all staff, travels arrangements, travel plans (TP) preparation, hotel accommodation, field trips schedule, welcoming filing system for the secretarial related files, translation and interpretation as necessary;

Secretarial duties, including registering correspondence and communications, drafting correspondence, maintaining the filing and reference systems, ensures efficient and effective internal and external communication, providing assistance with respect to scheduling of meetings, maintains the stock and distribute stationery supplies.

Front-desk service and telephone communications services, including monitors visitors to the office, answering telephone, transmits messages, receives, registers and dispatch all office communication, assists in preparation for meetings, updates office staff contact list, keeps list of names, addresses and telephone numbers of stakeholders.

Human resources administrative support, including welcome package, staff presence follow-up, staff leave requests, support in preparation of contracts, maintaining expatriate staff visa and residence, following-up on protocol issues, back-up the administration support in case of absences.

Minimum requirements
The candidates for this position need to demonstrate the following criteria:
Education:
- Secondary education or equivalent commercial school/minimum Secretarial Diploma.
Knowledge and Experience:

Minimum 3 years of relevant experience.

Good drafting skills.
-
Good communication skills.
-
Ability to work in a multicultural environment.

Capacity to work in a multitasking position.
-
Previous experience in a Governmental or other International Organisation is an advantage.

Experience in the usage of computers and office software packages (MS Word, Excel, etc.).
Languages:

Fluency in English (oral and written).

An excellent knowledge of Arabic
Employment conditions
This position is open to nationals and other residents of Jordan with valid work and residence permits. The contract is initially for one year with the possibility of renewal subject to a 3-month probationary period.
As an indication, the monthly basic salary is on average approximately JOD 1,100, which corresponds to 3 years’ relevant work experience. The salary will be adapted according to the exact duration of relevant professional experience supported by a work certificate. In addition, the employee will receive disability/retirement allowance, a 13th month salary, as well as medical coverage.
