EEAS Vacancy: Advertisement for Assistant to the EUSR for the Belgrade-Pristina Dialogue
A. Essential Requirements
Citizenship – Citizen of a Member State of the European Union (EU) and enjoying full rights as a citizen.
Language skills – Full professional proficiency in written and spoken English is required. A working knowledge of French is considered an asset.
Education - Successful completion of Secondary Education attested by a diploma OR a qualification in the National Qualifications Framework which is equivalent to level 4 in the European Qualifications Framework. A qualification of the first cycle under the framework of qualifications of the European Higher Education Area, e.g. Bachelor’s Degree, preferably in Administration or Political Sciences, is desirable.
Professional experience – Relevant professional experience in the field of administration, after having fulfilled the education requirements, preferably in EU institutions or EU CSDP missions is desirable.
IT skills – Proficiency in using Windows-based office applications, including MS Outlook, Excel, Word, PowerPoint.

Personnel Security Clearance – To have or obtain a national security clearance at “EU SECRET” level or equivalent.
C. Additional Information on the Selection Process
Deadline for applications – the deadline for applications is 16 January 2026, 17:00 Brussels time. Applications submitted after the deadline will not be considered.
Application Form – Applications will be considered only when using the standard Application Form (Annex 2).
Selection process - The candidates considered to be most suitable will be shortlisted and interviewed by VTC (Webex or Zoom), before the final selection is made.
Information on the Outcome – Candidates will be informed about the outcome of the selection process after its completion.
D. Job Description
Overall purpose
The Assistant is locally recruited and based in Brussels. The role provides administrative support to the European Union Special Representative (EUSR) and forms an integral part of the EUSR’s Brussels-based team. The assistant also works closely with the team of political advisers to support the development of advice, briefings and analysis. In addition to Brussels, two field offices are located in Belgrade and Pristina.
Main tasks and responsibilities
The roles, responsibilities, and tasks of the Assistant include the following:

acting as personal assistant to the EUSR providing day-to-day administrative, organisational, and logistical support,
-
acting as a focal point in the EUSR office in Brussels for incoming calls and correspondence, and visitors, ensuring timely handling, prioritisation, and appropriate follow-up.

assisting with the preparation, coordination, and management of correspondence related to appointments, meetings, and official engagements of the EUSR and the team, including drafting routine communications as required.

managing, updating, and maintaining the planning and mission calendar of the EUSR and the team.

supporting the preparation and organisation of missions and official travel, including arrangements for transport, accommodation, and mission documentation for the EUSR and the team.

establishing, maintaining, and regularly updating comprehensive contact lists for the EUSR and the EUSR’s team, including EU institutions, Member States, international organisations, and other relevant stakeholders.

ensuring the filing and archiving of documents and correspondence.

maintaining close and regular contact with EEAS support services and other relevant internal and external actors on office-related administrative matters, including protocol, security, building management and IT.

supporting internal coordination within the EUSR team.

assisting the Financial and Administrative Officer with administrative and financial tasks, including the preparation and processing of mission-related travel claims and supporting documentation.

supporting the EUSR in mandate-related work by assisting in background research and analysis on political, institutional, and regional developments relevant to the mandate.

participating, as appropriate, in meetings and briefings, and preparing readouts.

contributing to the preparation of briefing notes, talking points, and background papers for meetings, missions, and high-level engagements of the EUSR.

performing any other duties required to support the implementation of the EUSR’s mandate, as requested by the EUSR.
